This privacy policy explains how Shays Media handles personal information collected through this website, the Fit Check, Manual Review requests and other enquiries.

Who we are

Shays Media is operated by Joanne Wells, trading as Shays Media. For data-protection purposes, Joanne Wells trading as Shays Media is the controller of personal information collected through this website.

The initial Fit Check

The initial Fit Check can be completed without giving your name or email address. Depending on your answers, it may collect:

  • your business location;
  • advertiser type;
  • business category and what you'd like to advertise;
  • your answers on conversational relevance, including the example customer question you provide;
  • customer situations and offer clarity;
  • your landing destination and measurement capability;
  • whether you know your customer value;
  • your proposed test budget;
  • your 60–90 day expectations.

From these answers, the Fit Check generates:

  • an automated suitability score;
  • a policy/category status;
  • an internal result;
  • relevant readiness or reason flags.

This is an initial Shays Media assessment only. It is not approval by OpenAI, and it does not guarantee campaign approval, delivery or performance.

Manual Review

If you request Manual Review, we collect additional contact and business information and link it to the Fit Check you already completed, rather than starting a separate, disconnected record. This may include:

  • your name;
  • business email;
  • business name;
  • website;
  • phone number, if you supply one;
  • a description of your business;
  • the specific product, service or offer you'd like to advertise;
  • the specific landing, product or service page involved;
  • what you want someone to do after clicking your ad;
  • customer value and profit or contribution, where you choose to share it;
  • existing paid advertising you're running;
  • your acquisition or lead cost, where known;
  • how soon you'd be ready to start;
  • anything else you choose to tell us.

Jo personally reviews your original Fit Check answers and this additional information together.

Automated assessment

The Fit Check uses predefined rules and scoring to give an initial suitability assessment. It is not OpenAI approval, it is not Shays Media's final decision, and it is not a guarantee of results. The human final decision always remains with Jo and Shays Media.

Lawful bases

The lawful basis depends on the activity:

  • Steps requested before entering a contract — Manual Review, service enquiries and suitability discussions.
  • Contract — providing services once you become a client.
  • Legitimate interests — normal business administration, operating the service, security, record-keeping, responding appropriately to enquiries, and understanding service performance, always subject to your rights.
  • Legal obligation — tax, accounting, legal and regulatory requirements.
  • Consent — where required for non-essential cookies, advertising measurement or similar technologies.

We do not rely on consent as a blanket basis for ordinary enquiries or client administration.

Service providers and where information is processed

Shays Media currently uses the following categories of service provider:

  • Google — our primary storage environment for business and customer records, and the intended production storage for Fit Check and Manual Review records.
  • Zoho Mail — business email, enquiries, client and prospect correspondence, and general communications.
  • Resend — sends an internal email alert to Shays Media when a website contact form or Manual Review request is submitted, so it can be reviewed promptly. It only receives the limited details needed for that alert (such as name, business and enquiry reason) and does not have access to Google Drive, our Google Sheets records, or Shays Media's wider customer database.
  • Zoom — used only for calls once a meeting has been agreed. It is not embedded in this website.

We plan to introduce conversion measurement for ChatGPT Ads, most likely using functionality such as the OpenAI Pixel or Conversions API, with a Manual Review submission as the primary event we'd want to measure. This is not yet configured or live — see the Cookie Policy for the current position.

Shays Media does not sell personal information to advertisers.

International processing

Some of the providers above may process information outside the UK. Where a restricted international transfer applies, Shays Media will use an appropriate lawful mechanism — such as a UK adequacy arrangement, or contractual safeguards recognised under UK data-protection law. Contact privacy@shaysmedia.co.uk for more information about a specific transfer.

Retention

We keep personal information only for as long as reasonably necessary. As a working position:

  • Fit Checks with no contact details supplied: normally up to 12 months;
  • Manual Review requests and prospective-client enquiries that don't become a client: normally up to 24 months after the last meaningful contact;
  • general enquiries and correspondence: normally up to 24 months after the last meaningful contact, unless part of a client, legal or accounting record;
  • client and contractual records: normally up to 6 years after the relationship ends, where reasonably required for contractual, accounting, tax or legal purposes;
  • cookie and consent records: only as long as reasonably necessary to manage and demonstrate the relevant consent choice.

We may keep information for longer where a specific legal, dispute, fraud/security or regulatory reason applies.

Your rights

Depending on the circumstances, UK data-protection law may give you rights to be informed, to access your information, to have it corrected or erased, to restrict or object to processing, to portability where applicable, and to withdraw consent where we rely on it. To exercise a right, contact privacy@shaysmedia.co.uk. You may also complain to the UK Information Commissioner’s Office.

Children

Shays Media is a business advertising service and is not aimed at children.

Cookies and similar technologies

Security

Shays Media uses proportionate organisational and technical measures intended to protect personal information. No internet service can guarantee absolute security.

Marketing

Completing the Fit Check, requesting Manual Review or submitting the Contact form does not sign you up to marketing. Shays Media does not currently operate a newsletter. If that changes, the relevant notices and choices will be updated before any collection begins.

Independence

Shays Media is an independent advertising service and is not affiliated with, endorsed by or an official partner of OpenAI.

Changes

This policy will be reviewed as the website, services, legal requirements and technology stack change. The current version and review date remain visible on this page.
